What Happens After a Prospect Replies

Every reply gets handled immediately by Wire, our AI-powered reply management system. Here's the complete flow: from the moment a prospect hits reply to the moment you're on a call with them.


Wire: Your AI Reply Manager

Wire reads every inbound reply within minutes of receipt. It doesn't wait for business hours, doesn't get tired, and doesn't miss context. Its job is to identify genuine interest and convert it to a booked meeting as fast as possible.

Wire understands:

  • Positive intent ("Interested, can we set something up?", "Tell me more", "Who is this for?")
  • Soft interest ("Send me some info first", "Maybe next quarter", "We're evaluating options")
  • Objections ("We already have a solution", "Not the right time", "We're too small")
  • Unsubscribes ("Please remove me", "Not interested")
  • Out of office (auto-replies, vacation notices)

  • Reply Classification

    When a reply arrives, Wire classifies it into one of four categories:

    Interested

    The prospect wants to learn more or book a call. Wire responds immediately with a personalized reply and your Cal.com booking link.

    Example triggers: "This sounds relevant", "Let's set up 15 minutes", "I'd like to hear more about this", "How does it work?"

    Soft Interest / Not Now

    The prospect is open but has timing or information objections. Wire sends a follow-up that acknowledges the objection and plants a seed for re-engagement.

    Example triggers: "We're busy right now", "Check back in Q3", "Send me a one-pager"

    Not a Fit

    The prospect clearly isn't a match. Wire sends a polite closing reply and removes them from the sequence.

    Example triggers: "Wrong industry", "We don't have a sales team", "We're a nonprofit"

    Unsubscribe

    The prospect opts out. Wire removes them from all sequences immediately. No further contact.


    The Booking Link Send

    For Interested replies, Wire responds with a message like:

    *"Great to hear from you. Happy to show you what this looks like in practice. Here's a link to grab time: [booking link]. Feel free to pick whatever works best."*

    The booking link is your Cal.com link, pre-filled with the prospect's name and email so the booking form is as frictionless as possible.

    You'll receive a Slack alert when the booking link is sent, including:

  • Prospect name and company
  • Their original reply text
  • A link to the meeting in your portal

After the Booking Link Is Sent

If the prospect books immediately

Cal.com sends confirmation emails to both you and the prospect. The meeting appears in your portal with Booked status and the scheduled date/time. Another Slack alert fires.

If the prospect opens but doesn't book (3–5 days)

Wire can send a follow-up nudge: "Just wanted to make sure the link worked. Happy to find a time that fits better." This typically converts another 15–25% of link-sent prospects into booked meetings.

If the prospect goes silent (7+ days)

Wire flags the conversation for review. Your CSM may recommend re-engagement after a cooling period.

Handling Objections

Wire is trained on common B2B sales objections and handles them contextually. Common patterns:

"We already use [competitor]" Wire: *"Totally understand. We actually work with teams that use [competitor] and complement it well. Worth 15 minutes to see if there's a fit?"*

"I'm not the right person" Wire: *"No problem. Who on your team handles [relevant function]? Happy to reach out to them directly."*

"We don't have budget right now" Wire: *"Makes sense. Most of our clients start with a single quarter to prove ROI before committing long-term. Happy to show you what that would look like."*

Frequently Asked Questions

Can I see the actual emails Wire is sending? Yes. The meeting card in your portal shows the full reply thread when you expand it. You can see Wire's exact responses.

What if Wire sends something I wouldn't approve? Wire is trained carefully but not perfect. If you see a reply you'd want handled differently, flag it to your CSM with the specific message and preferred approach. We tune Wire's handling for your account.

What if a reply comes in outside business hours? Wire operates 24/7, so there are no business hours for reply processing. A prospect who replies at 11pm on Sunday gets a response before midnight.

Can I respond to prospects directly? Yes. If you want to take over a conversation personally, just reply from your email. Wire will detect that a human has taken over and will step back from that thread.
