When a Prospect Cancels

Cancellations happen. Here's how they're handled.

What Happens Automatically

When a Cal.com booking is cancelled:

  • The meeting is removed from your pipeline
  • No $250 charge is triggered (existence in pipeline = attended; deletion = cancelled)
  • You receive a notification
  • Re-engagement

    Cancelled prospects aren't dead leads. They cancelled, not unsubscribed.

    Options:

  • Automatic re-engagement — Wire can send a follow-up email offering to reschedule
  • Manual re-engagement — Ask your CSM and we'll handle outreach directly

Late Cancellations

If a prospect cancels with less than 2 hours' notice, the meeting may have already auto-qualified (our system checks 2h post-meeting-time). In that case, follow the no-show reversal process to void the charge.

Repeated Cancellations

If a prospect cancels more than once, we flag them for lower-priority re-engagement. Quality of booked time matters.
